Send Order & Exact Route to Driver

There are numerous reasons why you might want to send an order digitally to your driver: 

• Efficiency: Digital orders are delivered instantly, reducing delays compared to traditional methods.
• Accuracy: Digital orders eliminate errors from handwritten or verbal instructions and ensure clear and precise information.
• Real-time Updates: Dispatchers can make immediate updates and track driver progress, adapting quickly to changing conditions.

To ensure your driver receives all order data, follow these steps:

Step 1: Create a transport order.   
Add and save all relevant data with the order that should be sent to the driver, including attachments. The planned truck route will be saved along with the order. It is also possible to first create a transport order and then adapt the route afterwards. Read more: Create a transport order in the Orders Module.

Step 2: Send the order to the driver.   
You can assign orders via the Planner, Orders, and Fleet modules. The driver can then access all order data except costs and prices and follow the exact planned truck route via the integrated truck navigation.

Note: Prices and costs will not be shared with the driver.

Important: Transport orders that are already in progress cannot be reassigned to another driver. To assign the order to a different driver, first reset the order status to “Open”.

There are numerous reasons why you might want your driver to follow a specific planned truck route. 

1. Firstly, you want to support your driver and reduce the burden of having to find the most suitable truck route independently. 
2. Secondly, you want to maintain control over determining the most cost-effective route and ensure that the driver follows it. 
3. Thirdly, you want to minimize potential deviations between the planned and the actual driven distance, thereby reducing your planning risk.

To ensure your driver follows a specific planned truck route, follow these steps:

Step 1: Create a truck route.  
Navigate to the → Planner Module and plan your route. Read more: Plan a truck route step by step in the Planner.

Step 2: Modify the truck route as needed.  
Modify the truck route based on your requirements. Read more: View and edit an existing transport order.

Step 3: Create a transport order.   
The planned truck route will be saved along with the order. It is also possible to first create a transport order and then adapt the route afterwards.

Step 4: Send the exact route to the driver.   
You can assign orders via the Planner, Orders, and Fleet modules. The driver can then access and follow the exact planned truck route via the integrated truck navigation.

Note: You have the flexibility to send detailed transport orders, including attachments (excluding costs and prices), to your connected fleet devices.

1. Home screen with assigned order.
2. Start order and view first stop. 
3. Start navigation to the first stop.

Step 1: Open the Orders Module.  
Click on the blue letter “O” (tooltip: "Orders") in the left sidebar to open the → Orders Module.

Step 2: Initiate send process.  
Click the paper plane icon (tooltip: "Share with partners") and select “Send to driver”. A modal displaying a summary of all connected devices will appear.

Step 3: Finalize send process.  
Choose a driver and confirm by clicking “Assign order to driver” at the page's bottom-right to send the order to the driver.

Note: If you change the route of an order in the Planner, save it there with “Save changes”. The order itself is updated, so sending it from here sends the updated route. No new order is created.

Step 1: Open the Fleet Module.  
Click on the green letter “F” (tooltip: "Fleet") in the left sidebar to open the → Fleet Module.

Step 2: Select driver.  
Click the driver card of the driver you want to send the order or the exact route to.

Step 3: Assign order.  
Click the blue “+ Assign order” button and choose the order the driver should execute.

Step 1: Open the Planner Module.  
Click on the letter “P” (tooltip: "Planner") in the left sidebar to open the → Planner Module.

Step 2: Initiate send process.   
Locate the “Send” button in the top-right corner of the Planner and select “Send to driver”. A window opens with the order details.

Step 3: Edit and save the order.   
Edit the order or add as much data as needed and click “Save and continue”. If you planned a new route, the order is created in the Orders module automatically. If you opened an existing order, that same order is used and no new order is created.

Step 4: Select driver.  
After selecting the appropriate driver, click on the “Send” button and the transport order or routing information will be sent to the driver. If the driver is not yet connected, you can invite a new driver to the system. Click on “+ Invite a new driver”.

Note: Existing orders can be sent from the Planner. When you open a saved order with the “Open route in Planner” icon, “Send to driver” sends that same order. No new order is created. Route changes are saved with “Save changes”. A new order is only created when you choose “Create new order”. Read more: how to save route changes and send the order you opened.
