Creating a customized transport offer is essential for meeting the unique needs of businesses in the logistics industry. 1. Setup System
Before initiating the creation of offers on a platform, it is advisable to set up your company profile, personal profile, and terms and conditions. This foundational step ensures that all relevant information about your business and operational guidelines is transparently communicated to potential clients and partners. Here's a breakdown of why each element is crucial:
To streamline the process of creating transport offers, you can initiate the offer creation via two distinct modules within your platform. Here’s an optimized way to guide users through creating a transport offer using the Orders Module:
Step 1: Open “My Offers”. Click on the "O" icon (Tooltip: Orders) in the left sidebar to open the Orders Module and click on the tab →My Offers.
Step 2: Initiate offer creation. Click on the “Create new offer” button on the top right corner. The create offer view will open.
Step 3: Select vehicle, trailer and driver. Start the offer creation by selecting a vehicle, trailer, and driver, as these choices are essential for accurately calculating costs. The system estimates the transport offer cost using the chosen company, vehicle, and driver profiles, providing an initial financial overview.
Step 4: Add stops.
Input the locations as zip code or address. The reference number then will be created automatically.
Add an pre- or post-run, if you want to charge the customer for it.
Add additional time at stop for accurate cost estimation by clicking on “+”.
Step 5: Add Additional Data.
Add a reference number, if not automatically created.
Select a customer or create a customer by clicking on “+ Add new” in the customer selection field.
Add additional charges and additional time for driver breaks to get a realistic cost estimation.
Based on the cost calculated choose and enter a suitable price.
Add a valid until date.
Add other data or attach documents.
Step 6: Create offer. Finalise the offer creation process by clicking the "Create offer" button at the bottom right corner. In the "My Offers" tab, you'll find a list of your saved offers. You can click on a specific offer to view and edit its details. When you're ready to proceed, you can then choose to send the offer to the customer.
Notes:
Minimum required fields are the reference number (which is automatically created as soon as you enter stops), the customer (can be created directly via the drop down) and price.
The valid until date is the date until the customer can accept the offer digitally or the offer is valid until.
