Tracking the status of the offer from when it is initially made until it is either accepted or declined provides clarity and visibility to the team on the current state of each offer, which can aid in planning and allocation of resources. It facilitates better coordination among team members, ensuring that everyone is aligned on the offer's progress and can prepare accordingly for the next steps.

1. Edit Transport Offer Status

Understanding the various statuses that a transport offer can hold is crucial for managing the lifecycle of your offers effectively within the IMPARGO platform. Each status indicates a specific stage in the offer’s journey from creation to conclusion.

  • Draft: The initial status when an offer is created. Using the “Send” function to dispatch the offer to a client automatically updates the status to “Pending.”
  • Pending: The offer has been dispatched and is awaiting a response from the client.
  • Accepted: The client has agreed to the terms of the offer, allowing it to move forward to execution.
  • Declined: The offer has been refused by the client, and no further actions are scheduled for this request.

To streamline communications and enhance operational efficiency, follow these steps to update the status of a transport offer:

Step 1: Access the Offers Module.
Navigate to the “My Offers” tab within the Offers Module to view your current offers.

Step 2: Locate the status column.
Identify the offer you need to update. The status may initially appear as “Draft”.

Step 3: Edit offer status.
Click on the status field to expand a selection of available status options. Choose the appropriate new status for the offer from the following options: Pending, Accepted, or Declined.

Adhering to this methodical approach in managing offer statuses ensures clear tracking and effective management of transport offers, enhancing the decision-making process across your transport operations.


2. Create Order From Accepted Offer

Transforming an accepted offer into an operational order is a streamlined process on the IMPARGO platform. This procedure ensures that offers which meet client approval are efficiently converted into actionable orders.

To ensure efficient transition from offer acceptance to order creation, follow these detailed steps:

Step 1: Navigate to the Offers Module.
Access the “My Offers” tab in the Orders Module where your transport offers are managed. Ensure that the offer has been accepted before proceeding.

Step 2: Select the accepted offer.
Click on the offer that has been accepted by the client to view more details in a submenu.

Step 3: Initiate order creation.
Find and click the “Create Order from Offer” button, typically positioned at the top of the submenu. Or click on the order icon on the right side of the offer table. By clicking those buttons an order will be automatically generated and placed within the “My Orders” tab of the system.

This structured approach not only simplifies the process of converting accepted offers into orders but also ensures that all relevant details are appropriately transferred and the transition is seamless, facilitating better management and execution of transport services.
