Create Order Template

Many TMS users manage recurring transport services — daily, weekly, or seasonal. Until now, these had to be recreated manually each time. This involved duplicating old orders, updating delivery dates and much more. The process was time-consuming and introduced a high risk of human error.

The Order Templates feature was developed to solve this problem. It allows users to save frequently used order configurations as reusable templates and quickly generate new orders based on them. This improves efficiency, reduces manual work, and increases data accuracy.

1. Access the Order Templates Tab

Step 1: Open the Orders module.
Click on the blue "O" in the left-hand sidebar to open the Orders module.

Step 2: Go to the Order Templates tab.
Switch to the Order Templates tab in the top menu. This is where all templates are stored and managed.

Inside this tab, you can:

  • View and filter templates
  • Quickly locate templates by name or note
  • Edit, duplicate, or delete templates
  • Create orders from templates
  • View order template history


2. Create Order Template from Scratch

Step 1: Start template creation.
In the Order Templates tab, click the Create Template button.

Step 2: Fill in the template form.
Enter the following:

  • Template name
  • Basic order information (pickup and delivery addresses, goods, contacts)
  • Optional “Template Note” (template comments are not transferred to the order’s comment section).

Use the Template Note field to describe the intended use of the template (e.g. delivery schedule or customer-specific info). This helps your team understand when and how to use it.
Example Template Note: “To be executed every Monday and Tuesday.” or “2xMo, 3xTu”.

Step 3: Click Save to store the template.
Your template is now available for reuse in the Order Templates tab.



3. Create Order Template from an Existing Order

Step 1: Locate the relevant order.
In the Orders tab, find the existing order you want to convert into a template.

Step 2: Click the three-dot menu.
Open the three-dot menu next to the order.

Step 3: Select Create Template from Order.
The system will pre-fill the template form based on the selected order. Added assets and documents in the selected order will transfer to the created template.

Note: Template notes are not transferred to the order’s comment section.

Step 4: Review and finalize the details.
Make any adjustments needed and click Save.

The template will now appear in the Order Templates tab and can be reused at any time.



4. Generate Orders from a Template

Step 1: Open the Order Templates tab.
Go to the tab where your templates are stored.

Step 2: Select the template you want to use.
Click on the desired template from the list.

Step 3: Click Create Orders.
This opens the order generation window.

Step 4: Enter the number of orders to create.
You can generate one or multiple orders at once.

Step 5: Add order details in each generated order.
Fill in now not pre-filled data fields and complete the data of the order.

The generated orders will now appear in the Orders module and are ready to be dispatched.

Benefit: This drastically reduces manual input for recurring routes while maintaining data consistency.



5. View Orders Created from a Template

Step 1: Open the template.
Click on the template from the Order Templates tab.

Step 2: Go to the Created Orders section.
This section shows the 10 most recently generated orders. 

To view all orders created from the template, you can:

A. Find the “Created orders“ tab within the template view:

B. Use the “Template filter“in the “All orders“ tab:

This provides full visibility into how a template is being used in your operation.



6. Edit, Duplicate, or Delete a Template

To edit a template:
Use the three-dot menu and click on the edit icon, make your changes, click Save.

To duplicate a template:
Use the three-dot menu next to the template name and select Duplicate.

To delete a template:
Use the same menu and click Delete.

Note: Duplicating templates is useful when creating similar configurations for different customers or routes, without starting from scratch.
